How We Evaluate Gym Management Software

Our editorial rankings are independent of vendor relationships. Here is exactly how we research, score, and update every studio management, personal training and operator software product in our directory.

Editorial Independence

Vendor rankings and scores are determined solely by our research criteria. A vendor cannot buy a higher ranking, a better score, or a positive review. Sponsored listings are clearly labeled and appear separately from editorial rankings.

📅

Regular Updates

Software changes fast. We review every vendor listing at least once per year and update scores when products release major new features, change pricing, or receive significant new user reviews. The last review date appears on every vendor page.

Practitioner Perspective

Our editorial team brings hands-on fitness-software evaluation experience. Assessments reflect how software performs in real operator workflows — class scheduling, member reporting, payment reconciliation and multi-location member management — not just what the vendor demo shows.

Our Evaluation Criteria

Every vendor in our directory is assessed across six weighted criteria. The weighting reflects what gym and studio owners, studios and multi-location brands tell us matters most when selecting software.

Criterion Weight What We Measure
Core Functionality 30% Does the product cover the fundamental workflows for its category? A studio management platform must handle member data aggregation, reconciliation, member reporting, billing and class scheduling. A personal training tool must cover member growth projections, revenue modeling and retention scenarios. We score depth and completeness of core features.
Ease of Use 20% How quickly can a new user become productive? We evaluate UI design, client portal and mobile app quality, onboarding flow, and the learning curve for both admin and operator roles.
Integration Ecosystem 15% How well does the product connect with payment processors (Stripe, Square), operator CRMs, personal training tools, and billing systems? We assess native payment integrations, open API quality and data-integration depth.
Pricing and Value 15% Is the pricing transparent? Does the product deliver measurable ROI relative to its cost? We consider total cost of ownership including implementation, data conversion, training, and ongoing per-account or active members-based subscription fees.
Security and Compliance 10% Support for studio and broker-dealer compliance workflows, SOC 2 Type II attestation, data encryption, access controls, and audit trails. We also weigh the vendor's track record for uptime and resolving implementation issues.
User Satisfaction 10% Aggregate ratings from verified user reviews across G2, Capterra, industry surveys, and our own platform. We weight review recency and reviewer seniority when calculating satisfaction scores.

Weights are applied consistently within each software category. We do not adjust weights for specific vendors.

Our Rating Scale

Ratings shown on vendor cards and pages represent an overall score calculated from the six criteria above, normalized to a 1–5 scale.

Note on review counts: The review count displayed alongside each rating reflects the number of verified user reviews collected from public review platforms as of the last update date. We do not count unverified or anonymous submissions.

Our Research Process

1

Product Research

We evaluate product documentation, request demos, and where possible test the software directly. For enterprise platforms, we interview implementation consultants and end users with direct experience.

2

User Review Aggregation

We aggregate verified user ratings from G2, Capterra, industry surveys and operator communities. We exclude reviews marked as incentivized when calculating satisfaction scores, and weight reviews from the past 24 months more heavily than older reviews.

3

Scoring and Writing

An editor applies the six-criterion framework to produce a weighted score. A separate writer then produces the vendor review, ensuring scoring and editorial content are produced independently to reduce bias.

4

Annual Review Cycle

Every vendor listing is reviewed on a 12-month cycle. Mid-cycle updates are triggered by major product releases, pricing changes, or a significant shift in user review sentiment of more than 0.3 rating points.
