PTminder prices by how many active clients you coach, across five plans: $75 a month for up to 50 clients, $90.97 for up to 100, $150.97 for up to 150, $184.97 for up to 200, and $265.96 for unlimited. Every plan includes the full feature set and up to 20 trainers, with a 14-day free trial and no credit card to start. So how much PTminder costs tracks your client count, not a tier of tools, and annual billing trims 10% off any plan.

PTminder is coaching and studio software for personal trainers and small fitness businesses, built around client management, scheduling and workout and nutrition planning. The client-band pricing plus all-features-included model means you never pay to unlock a tool, only to cover the clients you carry.

The Verdict in One Screen

PTminder is a full-featured personal-training platform priced by client count, with every feature on every plan. It coaches clients and runs a small studio; it is not a large-facility system.

Quick read Detail
Best for Trainers and small studios that want all features on a client-based plan
Weakest for Large facilities needing deep membership and access tooling
Pricing $75 / $90.97 / $150.97 / $184.97 / $265.96 per month
Client bands 0-50, 51-100, 101-150, 151-200, unlimited
Included Up to 20 trainers on every plan; annual saves 10%
Free trial 14 days, no credit card

Two dates for the record. This review was first published 11 August 2026 and last checked on 12 August 2026. The figures are the US monthly rates; annual billing takes 10% off, and every plan carries the same feature set.

What PTminder Actually Is

PTminder is coaching software that also handles the small-studio basics. You manage clients, schedule sessions and classes, build workout and nutrition plans, and take payments, and because every plan includes every feature, a solo trainer on the entry plan gets the same tools as a studio on the unlimited one. Up to 20 trainers are included throughout, with more on request, so a small team fits without a special plan.

What every plan includes, per the pricing table:

  • PTminder mobile app and a dashboard
  • Calendar and scheduling
  • Client management and client assessments
  • Workout planner and nutrition planner
  • Packages, memberships and products
  • Session and class templates
  • Payments and invoicing

The all-features model is the standout. Where rivals gate reporting, planning or memberships behind higher tiers, PTminder puts the workout planner, nutrition planner, assessments and payments on the $75 entry plan, so you pay only for client capacity, not for access to the tools.

The Pricing: Five Client Bands, All Features In

Here is the ladder.

Plan Price Active clients
50 Client $75/mo 0-50
100 Client $90.97/mo 51-100
150 Client $150.97/mo 101-150
200 Client $184.97/mo 151-200
Unlimited $265.96/mo 200+

The client-band model keeps the entry low and scales cleanly. A trainer with a handful of clients pays $75 with the full toolkit, and the price rises only as the roster grows. So how do you pick your plan? Match the band to your active client count, take annual billing for the 10% saving if you are confident you will stay the year, and start on the 14-day free trial with no card. The one paid extra to note is the branded mobile app, which is an add-on on every plan rather than an included feature.

Where PTminder Falls Short

No platform is right for everyone, and PTminder's edges are worth naming.

The client bands create step changes. Crossing from one band to the next adds a fixed jump, and the step from the 100-client plan at $90.97 to the 150-client plan at $150.97 is a steep one, so a trainer just over 100 clients pays a notable premium.

The branded app costs extra. The PTminder-branded mobile app is included, but a fully branded app under your own name is a paid add-on on every plan, so a trainer who wants their own branded app pays on top of the subscription.

The staff cap is 20 by default. Up to 20 trainers are included, which suits a small studio, but a larger operation needs to request more, so the flat plans are aimed at small teams rather than big facilities.

And it is a coaching-and-small-studio tool, not a large-facility system. PTminder covers clients, classes and payments well, but a big gym needing deep access control and enterprise memberships will find it lighter than a purpose-built facility platform.

Who Should Actually Buy It

Line it up and the fit is clear. PTminder is a strong choice for a personal trainer or small studio that wants every feature on a simple client-based plan, with up to 20 trainers included and a genuine no-card trial. The all-features model means the $75 entry is fully capable, and the client bands scale the cost only as your roster grows.

It is a weaker choice for a large facility that needs deep membership and access tooling, or a trainer just over a band edge paying the next tier for a few extra clients. Those buyers should weigh the band total against a flat-rate rival, or a facility platform.

Our read: full features on every plan and clean client-based pricing, held back by steep band steps and a branded-app add-on. Match the band to your client count, take the 10% annual saving if you will stay the year, and start on the 14-day no-card trial. Rated 7.8/10 on that balance of all-features value and band-edge pricing.
